Renew a plan and collect the fee
Continue a student's plan when it ends, record a cash or online payment, split one payment across two modes, and collect a pending balance later.

Find students whose plan is ending
- In the sidebar, open Dashboard.
- Tap the Expired Plans tile. The list shows plans that have ended, plus plans ending in the next 3 days.
The date under End Date is red when the plan has ended, and amber when it ends within 7 days. Looking for students who still owe money? Tap Pending Payment instead.
Renew the plan
- On the student's row, tap Continue in the Actions column. On a smaller screen the button shows only an arrow (→). On a phone, tap the ⋮ menu, then Continue Plan. You can also open the student's profile and tap Continue Plan →.
- A panel opens. Choose or check Room, Type, Desk and Plan. The Desk box only shows when Type is Reserved.
- From is already set to the day after the old plan ended, and To fills in by itself from the plan.
- Giving a discount? Pick a Discount Type, either Rupees (₹) or Percent (%), and enter the discount.
- Check Paid Amount (₹). Do this last, because it changes whenever you change the plan, the dates or the discount.
- Under Payment Status, pick Paid in full, Partly paid or Pay Later.
- Under Paid by, pick Online, Cash, GPay or PhonePe.
- Tap Confirm & Pay. You will see Plan continued successfully.
The student gets the payment receipt on WhatsApp.
The student paid less than the fee
Type what they actually paid in Paid Amount (₹). A box asks which it is:
- Discount — I took less on purpose — their fee is lower, so nothing is owed.
- Pending — student will pay the rest — the balance is printed on the receipt. No reminder is sent, so collect it yourself.
Has the student paid nothing yet? Enter 0 and pick Pay Later — student will pay the whole amount.
Part cash, part online
- Enter the total the student paid in Paid Amount (₹).
- Under Paid by, pick the first way they paid, for example Cash.
- Switch on Paid in two ways.
- Pick the Second way, for example PhonePe, and type only the amount paid that way.
- Check the green line, for example Cash ₹700 + PhonePe ₹700 = ₹1400.
- Tap Confirm & Pay.
The split covers the plan fee only, not additional charges.
Collect a pending balance later
- On the Dashboard, tap Pending Payment.
- Tap the pencil icon on the student's row. On a phone, tap ⋮, then Edit. The Edit Membership panel opens.
- In Collect a payment now, type only what the student gave you today in Amount received today. Leave it blank if they paid the whole balance.
- Choose Received by and Paid by. If they paid on a different day, change Money received on.
- Tap Add this payment.
Was the whole fee left as Pay Later, and the student has now paid all of it? In the same panel, type the amount in Paid Amount (₹), fill in Paid by and Money received on, and tap Update Plan.
Don't mark a fee as paid with the Status drop-down in the list. It only changes the word, and records no amount, payment mode or date.
Send the receipt again
Collecting a balance later does not send a new WhatsApp receipt. To share one:
- Tap the student's name to open their profile.
- Open Billing & History.
- In the row's menu, tap View Receipt.
- Tap WhatsApp, or tap Copy Link to paste it into any chat.
If something stops you
- Cannot Continue Plan — an earlier plan is still on Pay Later. Tap Fix Payment and record that payment first, then renew.
- Tell us whether the shorter amount is a discount or still pending — answer the question in the box under Paid Amount (₹).
- Desk … is already booked for this shift — pick a different desk.
